HOTEL RESERVATION TERMS & CONDITIONS

Reservations

  • Telephone bookings are not accepted.

  • All reservations must be made via the official forms or by email.

Rates

  • Prices are per room, per night, and include breakfast.

  • City tax and VAT are not included.

Payment

  • Full payment is required in advance.

  • An invoice will be issued to proceed with payment.

  • Reservations are confirmed only once payment is received.

Currency

  • Payments must be made in Euros.

  • Accepted methods: bank transfer or credit card (VISA, MasterCard).

Allocation & Availability

  • Reservations are processed on a first-come, first-served basis after payment.

  • A block of rooms is reserved for official congress dates.

  • Pre- and post-congress nights are subject to hotel availability.

Recommendation

  • Participants are strongly advised to book as early as possible to guarantee availability.

Liability

  • The organizers accept no responsibility for loss, injury, or damage to persons or property during the congress.

Cancellations & Changes

Refund Policy

  • By 31 December 2025 → Full refund, minus €50 administrative fee.

  • From 1 January to 9 April 2026 → 50% refund of the total amount paid.

  • After 9 April 2026 → No refunds will be issued.

  • No-shows → No refund will be given.
